Welcome aboard! As an admin, you're responsible for setting up Salesgear so your team can start outreach smoothly and stay aligned as you scale.
This guide walks you through the key setup areas in the right order. You don't need to configure everything at once, but completing these steps early will help avoid friction later.
📌 All settings below are under More → Settings, or open Settings from your profile menu in the header. Prefer to be guided? Open Copilot (or press ⌘ + J) and type "Help me set up Salesgear".
1. Complete Your Profile
Your profile represents you across emails, meetings, and internal collaboration.
Go to Settings → My Profile and add:
Your name
Job title
Phone number
Calendar URL (if available)
This information is used across outreach and scheduling.
2. Connect Inboxes
Inbox connection is required to send emails, sync calendars, and track engagement.
As an admin, you can connect both your inbox and your teammates' inboxes.
Steps:
Click Connect Inbox
Choose Gmail, Outlook, or SMTP
Follow the setup steps
Make sure inboxes are connected before launching sequences. If your team runs LinkedIn steps, connect LinkedIn on the same page.
Adding several inboxes? Use bulk import via CSV instead of connecting them one by one.
3. Create Your Seller Profile
Tell Salesgear what you sell so Copilot finds the right prospects and Deep Research writes relevant outreach.
The quickest way is to ask Copilot "Create my seller profile from" followed by your website. You can also find it under Settings → Deep Research → Seller Profiles. See Set Up Your Seller Profile.
4. Invite Users and Create Teams
If you're working with multiple users, set this up early.
Invite users
Go to Settings → Users & Teams (or More → Team)
Click Add User
Assign roles (Admin or User)
See Invite Teammates to Salesgear for the full walkthrough.
Create teams
Use teams to organize users by region, function, or ownership
Assign team owners for clearer accountability and reporting
See Create and Manage Teams and Assign a Team Owner for details.
5. Configure Contact Settings
Contact settings define how data is organized and protected across your account.
Under Settings → Contacts, review:
Contact Stages
Create stages that reflect your sales process
Configure stage rules if needed
Do Not Contact Domains
Add domains you never want to reach out to (customers, competitors, internal domains)
Supports manual entry and CSV uploads
Custom Fields
Create fields to store personalized data
Use them inside emails and templates
Ensure custom fields are included during CSV imports when required
📌 Account fields live separately, under Settings → Accounts → Custom Fields.
6. Set Up Integrations
Salesgear integrates with popular CRMs and platforms to keep data in sync.
To connect integrations:
Choose the platform (Salesforce, HubSpot and others, or Slack and Zapier)
Click Connect
Complete the setup steps
Also under Integrations: Chrome Extension and Website Tracking.
7. Review Your Settings
Settings control sending behavior, automation, and scheduling.
Key areas to review:
Email Settings
Daily email limits
Minimum delay between emails
Open and click tracking
Calendar
Create meeting events
Control availability and booking rules
Required for scheduling meetings
Schedules
Configure sending windows based on timezones
Create multiple schedules if needed
Custom URL
Set up a custom tracking domain
Helps prevent spam and phishing flags
Triggers
Automate actions based on engagement
Configure conditions and actions carefully
Use "trigger only once per contact" where appropriate
Dialer
Buy a number if your team makes calls
Set up voicemail and call recording
8. Final Checks Before Launch
Before your team starts active outreach:
Inboxes are connected
A seller profile is saved
At least one calendar event is active
Email limits and schedules are set
Teams and permissions are reviewed
Do Not Contact domains are added
Once these are in place, your team is ready to start using Salesgear confidently. Try asking Copilot to "Find 25 prospects that match my seller profile" to get your first list going.
